Cool Beans ("Cool Beans", "we", "us", or "our") operates the website https://coolingthebeans.com, our online ordering platform, and any companion mobile application that links to this policy (together, the "Services"). This Privacy Policy explains what information we collect, how we use and share it, and the choices you have. By using the Services, you agree to the collection and use of information in accordance with this policy.
We are based in the United States and operate our cafe at 811 Co Rd 1, Palm Harbor, FL 34683. This policy is intended to comply with applicable U.S. privacy laws, including the California Consumer Privacy Act (CCPA/CPRA), and with Google Play's Developer Program Policies for apps that use a WebView to display this website.
1. Information We Collect
We collect the following categories of information:
- Account Information: name, email address, phone number, and a securely hashed password when you register, sign in, or use Google sign-in.
- Order & Profile Information: order history, favorites, delivery addresses, reservation and event booking details, product reviews, and cart contents.
- Payment Information: when you pay online, your card details are collected and processed directly by our payment processors (Stripe and/or Clover). We do not store your full card number on our servers.
- Location Information: if you request delivery, we collect the delivery address and may use map/geocoding services to calculate distance, delivery fees, and provide live order tracking. With your permission, we may also use your device's precise location to pre-fill your address or show nearby delivery status.
- Device & Usage Information: IP address, browser/app type, device identifiers, pages viewed, and similar diagnostic data, used to keep the Services secure and to improve performance.
- Push Notifications & Messages: if you enable notifications, we store a notification token and send updates about your orders, reservations, offers, and account activity. We may also contact you by email or text for order updates and, where you have opted in, marketing offers.
- Cookies & Local Storage: used to keep you signed in, remember your cart, and understand how the Services are used (see Section 4).
2. How We Use Your Information
- Create and manage your account and authenticate sign-in.
- Process orders, payments, refunds, reservations, and event bookings.
- Calculate delivery fees, assign riders or third-party couriers, and provide live order tracking.
- Send transactional communications (order confirmations, receipts, delivery and reservation updates).
- Send marketing offers, promotions, and newsletters where you have opted in, with the ability to opt out at any time.
- Respond to customer service requests, reviews, and contact form messages.
- Maintain the security, integrity, and performance of our Services and prevent fraud.

3. How We Share Your Information
We do not sell your personal information. We share information only as follows:
- Payment Processors: Stripe and/or Clover process your payment details directly under their own privacy policies and security standards (PCI-DSS).
- Delivery Partners: our own delivery riders and, where applicable, third-party delivery partners (such as Uber Direct) receive the information needed to fulfil and track your delivery (name, address, phone number, order contents).
- Map & Location Services: we use Google Maps to geocode addresses, calculate delivery distance/fees, and display delivery routes.
- Cloud Hosting & Storage: images, files, and backups are stored with reputable cloud infrastructure providers (e.g. cloud storage and content delivery networks) under contracts that protect your data.
- Service Providers: email/SMS delivery providers and analytics tools that help us operate the Services, bound by confidentiality obligations.
- Legal Requirements: if required by law, court order, or to protect the rights, property, or safety of Cool Beans, our customers, or others.
- Business Transfers: in connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
4. Cookies & Tracking Technologies
We use cookies and similar local storage technologies to keep you logged in, remember items in your cart, store your preferences, and understand how visitors use our Services so we can improve them. You can control cookies through your browser settings; disabling cookies may limit some features such as staying signed in or cart persistence.
5. Mobile App & Permissions
If you access Cool Beans through our mobile app, the app may request the following device permissions, each of which is optional and only used for the stated purpose:
- Location: to pre-fill your delivery address and show order tracking.
- Notifications: to alert you about order, delivery, reservation, and offer updates.
- Camera/Photos: only if you choose to attach a photo (e.g. to a product review).
You can disable any of these permissions at any time through your device settings. Doing so will not prevent you from using the core ordering features of the app.
6. Data Retention
We retain your account and order information for as long as your account is active or as needed to provide the Services, comply with our legal and tax obligations, resolve disputes, and enforce our agreements. You may request deletion of your account at any time using the contact details below, subject to records we are legally required to keep.
7. Data Security
We use administrative, technical, and physical safeguards designed to protect your information, including password hashing, encrypted connections (HTTPS), and access controls on our systems. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
8. Children's Privacy
Our Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us so we can delete it.
